Secure Mail Tips
Secure mail handling and
processing is one of PBMS’ core competencies.
Therefore, we take recent incidents involving mail-related activities
through the mail stream very seriously.
PBMS implements thorough strategies to create the most secure mailing environments
in the industry to protect our customers and our employees.
Here are some basic steps
you may follow when handling mail at work or home:

Never
accept mail or package deliveries from unknown persons who cannot provide
proper identification and proof of employment by a delivery organization
·
Be
alert for and report any mail and packages left unattended following the
procedures under "What to Do" below.
Here are some "Red
Flags" to identify suspicious letters or packages:

Packages
with excessive postage, using postage stamps as opposed to meter indicia
·
Address
is poorly typed or handwritten, has misspellings
·
Packages
containing oily stains, crystallization on wrapper or strange odors
·
No
return address
·
Exceptionally
large or lopsided packages
·
Packages
that are rigid, bulky or discolored
·
Packages
which make sloshing sounds or appear to contain liquid
·
Packages
which display evidence of electrical wire or tin foil
·
Excessive
wrapping materials, such as masking tape, strapping tape, or string
What To Do:
1.
Do
not smell, touch or move the letter or package.
2.
Leave
the room.
3.
Call
8-1234 (VCU Campus Police).
4.
Notify
your manager and advise coworkers to stay away from your work area.
5.
Turn
off any circulating fans, air conditioners or heaters (if applicable).
6.
Ensure
that all persons who have touched the letter wash their hands with soap and
water.

Our meter users are licensed by the U.S. postal service
and are on file with the postal service and Pitney Bowes.

Every meter indicia contains the licensee number and we
can identify the point of origin for every piece of Pitney Bowes metered mail.
·
We also have technology, called Arrival, enabling
customers to track mail from the point of delivery at their building to the
final recipient, with electronic signature confirmation.
Pitney Bowes has a security, safety, health and business
team monitoring the situation closely.
The team is in ongoing contact with leading external resources such as
public health, occupational health and safety, law enforcement and postal
service officials to ensure we can act with the most accurate, timely
information available.
